Sound familiar? Four problems we hear from traders

In import and export, one deal touches buyers, suppliers, forwarders, banks and customs. When each sits in a different inbox, deals slip and margins disappear.

A buyer asks for a price, and the quote waits on rates from three teams Buyer Price for 2 containers? Sales Rate not sent Purchase Supplier rate? Logistics Freight rate? ! Quote sent 3 days after enquiry Buyer moved on
Problem 1

"Buyer enquiries come from everywhere, and quotes go out late."

Enquiries come by email, trade portals, WhatsApp and trade fairs. By the time the cost is worked out and the quote is sent, the buyer has moved on.

On Zoho

Every enquiry lands in one list in Zoho CRM, the cost sheet is ready, and the quote goes out in the buyer's currency from the same record.

This sounds like us
Shipments tracked in a spreadsheet, so the buyer gets no clear update Shipments.xlsx updated 2 days ago SH-204 · Mundra ETA ? SH-203 · Jebel Ali Docs pending SH-202 · Durban Arrived Buyer call · SH-204 No answer Bill of lading not shared Documents in 4 inboxes Buyer waits for an update
Problem 2

"We don't know where each shipment is."

Bookings, container numbers, dates and documents sit in emails and an Excel sheet. The buyer calls, and nobody has the latest update.

On Zoho

Each shipment has one record with its dates, status and document checklist, and the team gets an alert at every step.

This sounds like us
Freight, duty and charges are not added to the item cost, so the margin is a guess Landed cost · Item A-12 Supplier price ? Freight ? Customs duty ? Clearing ? Price quoted 4.20 per kg Real margin Unknown ?
Problem 3

"Our real cost per item is a guess."

Freight, customs duty and clearing charges come in later bills. Without adding them to the item cost, the selling price is a guess.

On Zoho

Landed cost in Zoho Inventory spreads freight, customs and other charges across the items on the bill, so you see the real cost before you set the price.

This sounds like us
Buyers pay in different currencies, and there is no single list of who owes what Owner Who still owes us? USD buyer Part paid AED buyer Overdue Home dealer Paid ! To check 3 ledgers rates differ No single view
Problem 4

"Payments in many currencies are hard to track."

Some buyers pay in USD, some in AED, some in your home currency. Rates change, and nobody has one clear list of who owes what.

On Zoho

Zoho Books keeps each buyer's invoices and payments in their own currency, updates exchange rates automatically and shows one outstanding list for all buyers.

FAQ

Frequently asked questions

Can Zoho handle quotes and invoices in many currencies?

Yes. In Zoho Books you set a currency for each buyer or supplier, and all their quotes, invoices, bills and payments are in that currency. Exchange rates can update automatically or be entered by you. Multi-currency is available in certain Zoho Books plans; we check the right plan for you in the free call.

Does Zoho work out landed cost for imported goods?

Yes. Zoho Inventory can spread freight, customs and other charges across the items on a bill, by value or by quantity, so you see the real cost of each item. The items need stock tracking turned on.

Can Zoho track shipments and export documents?

Yes. We build a shipment tracker on Zoho Creator with bookings, dates, status alerts and a document checklist, and store the papers in Zoho WorkDrive. For parcels and small shipments, Zoho Inventory links with carriers such as UPS and FedEx, and with Shiprocket in India.

Can you move my data from Excel or Tally?

Yes. We help move buyers, suppliers, items and opening stock into Zoho. For accounts, we plan the move to Zoho Books with your accountant. See our data migration service.

Do you set up Zoho for wholesale and import-export businesses outside India?

Yes. We work with traders in the UAE, Canada, South Africa, New Zealand, the USA, Australia and other countries. All steps, from the trade walkthrough to training, are done online, in your working hours.

Will invoices and tax reports follow my country's rules?

Yes. Zoho Books comes in country editions, for example with VAT filing in the UAE, GST/HST returns in Canada and BAS reports in Australia. We set up the edition for your country and check the tax setup with your accountant.
