About the client
National Event Management runs exhibitions and conferences in many cities. It works with business customers (B2B) and is based in Ontario, Canada. Each event has its own products and services, each with its own cost.
What was the challenge?
Agents handled many events and products for each client, often with custom contracts
Tracking deals by hand was slow and led to mistakes
Deal and price data had to stay the same in Zoho Creator and Zoho CRM
Many emails (welcome, signature, agent alerts) needed the right words at the right time
Deal details had to reach clients and agents as PDF files
How did we solve it with Zoho?
We built a custom app on Zoho Creator for events, deals and contracts, and connected it with Zoho CRM so both always show the same data.
Zoho Creator contract management: deals and contracts in three ways
- Create a deal from a web contract, from a link (URL), or with a button in CRM
- One deal or pre-contract can cover many events at once
- Contracts sent by email or as a website link
- Standard and custom products, with totals worked out automatically and a receipt sent by email
Events by city, costs by product
- Events grouped by city
- Each product linked to its cost, for budgets by event and by product
Automatic emails in English and French
- Welcome, signature and agent emails sent on time
- Alerts for contract sent, failed attempts and payment reminders
- The system works in English and French
Payments and CRM always in sync
- Card, e-transfer, wire and cheque payments, updated in CRM in real time
- Option to postpone payment for a circuit
- Deal, contact and company records update on their own
- Exhibitor records created and linked to each deal
Cancellations and refunds handled cleanly
- Deal stage changes with the payment status
- "Closed Won – Cancelled" when some or all payment is kept; "Closed Lost – Cancelled" when money is refunded or not received
- Exhibitor records and CRM fields updated to match
The right access for each agent
- Rebook and recall steps run in a separate Critical Path app in Zoho Creator
- Each agent sees only the contract steps for their own circuit and language
