Four problems NGO teams tell us about

NGO teams do a lot with a little. Admin work should not eat into field work.

Donors spread across five Excel files, with late receipts and late thank-you notes Donors_v5.xlsx 1 of 5 files Donor A Receipt late CSR Partner B No thank-you Foundation C Duplicate Thank-you notes 3 weeks late Receipts made by hand Same donor in 3 files With different amounts
Problem 1

"Our donor list is in five Excel files."

Individual donors, CSR partners and foundations are tracked separately. Thank-you notes and receipts are late.

On Zoho

Every donor, CSR partner and foundation sits in one Zoho CRM list with full giving history, and each donation is recorded and receipted automatically.

This sounds like us
A volunteer signs up at an event but is never scheduled and hours are not tracked Volunteer Signed up at the event Form Saved Schedule Not assigned Hours Not tracked ! Volunteers Lost No follow-up No schedule
Problem 2

"Volunteers sign up, then we lose them."

Sign-ups come from forms and events, but there is no simple way to schedule them or track hours.

On Zoho

Each online sign-up goes straight into Zoho Creator, where the volunteer is given an activity and their hours are logged.

This sounds like us
A CSR report is due, but people reached, funds used and photos are not ready CSR report · Project A People reached ? Activities done ? Funds used ? Field photos ? Report due to donor Friday Data ready Not yet ?
Problem 3

"We can't show donors what their money did."

Project data sits with field staff. Making a donor or CSR report takes days.

On Zoho

Field staff enter activities and photos on mobile, the program manager checks them, and Zoho Analytics pulls donor and impact reports from CRM, Creator and Books.

This sounds like us
A grant utilisation report is due, but data and fund balance are not ready and nobody is reminded Grant B Utilisation report due in 5 days Program Data pending Accounts Funds mixed Director Not aware ! Deadline Missed Renewal at risk No reminder
Problem 4

"Grant deadlines and compliance dates are missed."

Utilisation reports, renewal dates and fund-wise spending are hard to track.

On Zoho

Grant tracking software for NGOs on Zoho saves report and renewal dates from each signed MoU, shows spent and balance for every grant, and sends reminders before each grant ends.

Does Zoho give discounts to NGOs?

Zoho runs a nonprofit program with an online application. TechSoup, Zoho's vetting partner, checks nonprofit status; Indian NGOs can also apply with their local registration documents. Approved NGOs get a wallet credit that pays half of each eligible purchase, and some apps are not covered. The offer can change, so check Zoho for Nonprofits for current terms. We help you apply and choose the right plan.

How an NGO runs on Zoho – the complete flow

We build the system around your business process. You do not have to change your business to fit the software. We keep it simple, with hands-on training for non-technical teams.

FAQ

Frequently asked questions

What is the best donor management software for an NGO in India?

The best one is the one your team will actually use. Zoho CRM works well as a CRM for NGOs in India and for donor management, because it keeps donor records, history and emails together, and it connects with Zoho Books for receipts.

Can Zoho generate donation receipts?

Yes. Receipts can be created from Zoho Books or Zoho CRM templates. Tax-exemption details (like 80G in India) must be set as per your registration and your CA's advice (please confirm with your CA).

Can volunteers register online?

Yes. We set up a simple online form. Each sign-up goes into your system and can be assigned to an activity. Zoho Creator then works as simple volunteer management software for schedules and hours.

Can field staff work in areas with poor internet?

Zoho Creator mobile apps support offline data entry. Data syncs when the phone is back online.

How much does it cost?

Zoho licence cost depends on the plan, users and any nonprofit offer you qualify for; see Zoho's official pricing page. For our service, ask for a quote. Time depends on scope – we share a clear plan after the free consultation.

Do you set up Zoho for NGOs outside India?

Yes. We work with NGOs, trusts and charities in the UAE, Canada, South Africa, New Zealand, the USA, Australia and other countries. All steps, from the program walkthrough to training, are done online, in your working hours.

Will invoices and tax reports follow my country's rules?

Yes. Zoho Books comes in country editions, for example with VAT filing in the UAE, GST/HST returns in Canada and BAS reports in Australia. We set up the edition for your country and check donation receipts and the tax setup with your accountant.
